Role​s and Responsibilities

 ​Insurance Coordinators and Human Resource Generalists                                                                          

As a representative of an agency that participates in KEHP, the IC/HRG is responsible for partnering with the Department of Employee Insurance (DEI) to ensure their employees are informed of the benefits, policies,​ and processes of the Kentucky Employees’ Health Plan (KEHP). Below is a list of some of the most important duties of an IC/HRG.

​​Understand the benefits available, including ​Health Insurance Plans, Flexible Spending Accounts (FSAs), Health Reimbursement Arrangements (HRAs), Waiver Options, and Life Insurance Plans

Review and stay familiar with the Administration Manual and quarterly updates

Review and stay familiar with the KHRIS User Guides and quarterly updates

Attend all IC/HRG training sessions and view all required webinars

Understand HIPAA and the requirement to complete annual HIPAA training

Use the matrix in the KHRIS Benefits Administration User Guide to determine the appropriate actions needed and the changes to be made in KHRIS

Work with your billing liaison to ensure enrollment and billing remain in sync

Educate employees about their benefits and qualifying events

Provide the appropriate forms or direct employees to the website for the most current versions

Ensure employees know where to review their benefit options on the website and access the Benefits Selection Guide

Encourage employees to use KHRIS Employee Self-Service (ESS) and to keep their demographic information up to date

    Submit accurately completed forms to DEI in a timely manner​

   ​ Contact DEI for assistance with benefit interpretation, eligibility questions, or billing concerns

 Billing Liaisons                                                                                                                                                       

As a representative of an agency that participates in KEHP, the BL is responsible for partnering with the Department of Employee Insurance (DEI) to ensure bills are reconciled on a timely basis. Below is a list of some of the most important duties of an IC/HRG.

Reconcile and release health insurance premiums, administrative fees, flexible spending accounts and health reimbursement accounts

Reconcile health insurance premiums on a monthly basis

Reconcile flexible spending accounts twice per month

Attend all IC/HRG and BL training and watch all webinars

Study the KHRIS Benefits Accounting User Guide and any updates

Understand HIPAA and the requirement to complete annual HIPAA training​​
